Sounds International Disco – Terms and Conditions 2025
These Terms and Conditions outline the agreement between Sounds International Disco (hereinafter referred to as “the Provider”, “we”, “our”, or “us”) and the Client (hereinafter referred to as “the Client” or “you”) for the provision of mobile disco and entertainment services. By booking our services, you agree to the following terms:
1. Booking and Event Details
1.1 Accurate Information
The Client must provide full and accurate details of the event, including the event date, start and end times, venue name and address, venue contact details, access instructions, and any restrictions (e.g., noise curfews, limited access). Failure to do so may result in service delays or cancellation.
1.2 Setup and Breakdown
The Client agrees to allocate adequate time for equipment setup (typically 90 minutes prior to event start) and breakdown (approximately 60 minutes post-event). Access to the venue should be safe, clear, and suitable for loading/unloading heavy equipment.
1.3 Exclusive Booking
By confirming the booking, both parties agree that no conflicting entertainment arrangements exist for the agreed date and time. The Client is responsible for informing The Party Guys immediately of any changes to event timing or conflicts.
1.4 Booking Fee and Agreement
A booking fee (deposit) may be required to secure the date. This fee is non-refundable unless otherwise stated and forms part of a legally binding contract. If not received within the agreed timeframe, the Provider reserves the right to cancel the booking without notice.
2. Payments and Fees
2.1 Payment Methods
Payments may be made via bank transfer (BACS), using the reference provided in your booking confirmation (e.g., REF 0202-22). Full payment details will be supplied upon confirmation.
2.2 Late Payments
Payments not received within seven (7) days after the event will incur a flat-rate administrative fee of £50. Persistent non-payment will be subject to legal recovery proceedings, with the Client liable for all related costs.
2.3 Cash Payments
Cash payments must be agreed upon in writing before the event. Full cash payment must be received prior to the start of the performance.
3. Cancellations and Amendments
3.1 Cancellation Procedure
All cancellations must be submitted in writing via email. Cancellations made by telephone, text message, or social media will not be considered valid.
3.2 Cancellation Charges
Cancellations made within 14 days of the event will incur 100% of the agreed remaining balance.
Cancellations made more than 14 days prior will result in forfeiture of any booking fee (if applicable).
3.3 Force Majeure and Special Circumstances
Cancellations due to unavoidable and serious personal circumstances (e.g., bereavement, serious illness) may be eligible for a reschedule or refund at our sole discretion. This excludes Covid-19-related disruptions, unless government restrictions are in place.
3.4 Provider Cancellations
In the unlikely event that the Provider is unable to perform (e.g., due to illness, mechanical failure, or emergencies), every effort will be made to arrange a suitable replacement or offer to reschedule the booking.
4. Conduct and Responsibility
4.1 Guest Conduct
The Client is responsible for the conduct of guests at the event and must ensure that no one endangers themselves, others, or the Provider’s staff and equipment. The use of any equipment including Microphones is at the discursion of the DJ / The Party Guys. Any unruly use or abuse of equipment will not be tolerated and equipment will be shut off.
4.2 Guest Supervision
The Client must supervise guests, particularly minors, and will be held liable for any damages caused by attendees to equipment or property.
4.3 Abuse and Safety
Aggressive, abusive, or unsafe behaviour directed at the Provider will not be tolerated. The DJ reserves the right to terminate services immediately if staff safety is at risk. No refunds will be issued in such cases.
4.4 Events Involving Minors
Events primarily involving minors (under 18s) must meet legal adult-to-minor supervision ratios. The Provider accepts no responsibility for the supervision or safety of minors.
4.5 Professional Conduct
The DJ will perform to professional standards and comply with legal, ethical, and performance guidelines.
4.6 Documentation
Upon request, The Party Guys will provide proof of Public Liability Insurance (PLI), PAT (Portable Appliance Testing) certification, and DBS (Disclosure and Barring Service) clearance for staff.
5. Security of Equipment
5.1 Protection of Equipment
The Client is responsible for ensuring the security of the DJ’s setup area from unauthorized access, theft, and interference.
5.2 Venue Liability
We are not liable for injuries or damages that occur at the venue unrelated to our services or equipment. The venue or Client must ensure all other areas are safe and compliant with health and safety standards.
5.3 Damaged Equipment
Should any guest cause damage to our equipment, the Client will be held financially responsible. An invoice will be issued for the cost of repair or full replacement.
6. Health and Safety
6.1 Compliance
The Provider complies with the Electricity at Work Regulations 1989 and all other relevant health and safety laws. If the venue presents hazards or is deemed unsafe for setup, we reserve the right to withdraw. In such cases, full payment remains due.
6.2 Emergency Situations
In the event of a fire, flood, or public disorder, the DJ will follow the venue’s emergency procedures. The Provider is not responsible for managing evacuation or crowd control unless specifically contracted.
7. Venue Requirements
7.1 Setup Access
The Client must ensure timely access to the venue for safe setup and pack-down. Any delay caused by venue restrictions may reduce performance time without refund.
7.2 Licenses
It is the Client’s responsibility to confirm that the venue has appropriate licenses for music and entertainment. We will not perform at unlicensed premises.
7.3 Venue Restrictions
The Provider is not liable for reduced performance time due to venue operating hours or early closure. Refunds will not be issued for reduced time. Every booking is based on a standard time of 7:00pm - 12:00am.
7.4 Parking and Access
Nearby parking and convenient load-in access must be arranged in advance. Additional charges may apply if special arrangements (e.g., lifts or long carry distances) are required.
7.5 Third-Party Services
If additional entertainment (e.g., bands, photo booths) is booked, adequate space must be allocated for the DJ setup. The Provider is not responsible for any performance issues caused by space limitations.
7.6 Performance Area
The DJ may refuse to perform if the area allocated is unsafe, inaccessible, or does not meet technical or safety requirements.
7.7 Service Interruptions
In the event of DJ illness, severe transport issues, or similar emergencies, the Provider will make all reasonable efforts to arrange alternative entertainment or reschedule the booking.
7.8 Equipment Exclusivity
All equipment provided by The Party Guys is for exclusive use during the contracted event only. Equipment cannot be shared or sublet to third parties without prior written consent.
8. Refreshments and Alcohol
8.1 Refreshments
While we appreciate non-alcoholic refreshments being offered to our staff, they are not expected. Please refrain from offering alcoholic beverages to our team during the event.
8.2 Licensing Responsibility
All responsibility for alcohol service and relevant licensing rests with the Client or venue management. The Provider is not accountable for any legal issues arising from unlicensed activity.
9. Karaoke Services (If Booked)
9.1 Format Suitability
When karaoke is booked, the Client is responsible for ensuring it suits the event and guests. We are not liable for complaints regarding entertainment style or guest preferences.
9.2 Song Availability
We strive to meet song requests; however, availability is not guaranteed.
9.3 Safety and Control
Participation in karaoke is voluntary and at the guest’s own risk. The DJ may suspend karaoke activities if behavior becomes disruptive or unsafe.
9.4 Equipment Damage
The Client is liable for damage to karaoke equipment, including microphones, speakers, and screens, and will be invoiced for repair or replacement (as outlined in Section 4.2).
10. Photography and Video Consent
10.1 Event Media Use
We may take photographs or short videos at events for promotional use (e.g., social media, website). Clients wishing to opt out must notify us in writing prior to the event.
10.2 Events with Minors
No photography or video involving minors will be used without prior consent from a parent or legal guardian, in accordance with data protection and safeguarding legislation.
11. General Provisions
11.1 Force Majeure
The Provider shall not be held liable for failure to perform due to circumstances beyond our control (e.g., acts of God, severe weather, terrorism, civil disorder, government restrictions).
11.2 Amendments
These Terms and Conditions are subject to change. The version in effect at the time of booking confirmation shall apply unless otherwise stated in writing.
11.3 Governing Law
This agreement shall be governed by and construed in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the English courts.
